Rent increase Letter: Format, Templates And Examples

Last updated
Oct 12, 2026
A rent increase letter tells a resident how much the rent will rise, when it takes effect and what to do next. This guide covers the format every letter should follow, three copy-ready templates (standard, friendly, and an increase after a concession ends), the notice rules to check by state, and how to deliver the news in a way that keeps residents renewing, including a gift card for early renewal that leaves the new rent unchanged.

A rent increase letter is a written notice from a landlord or property manager telling a resident that the rent will rise. It should state the current rent, the new rent, the dollar and percentage change, the date the new rent takes effect, the notice period that applies, and how the resident can respond. Most operators send it with the lease renewal offer.

Increases are routine in 2026. Mid-America Apartment Communities (MAA) reported renewal lease increases averaging 5.2% in the second quarter of 2026, in its September 2026 capital markets update. Residents who signed with a concession often face more, because the renewal is priced from the full rent. The letter is where the property explains that change and keeps the resident.

How Much Notice Do You Need For A Rent Increase?

Notice rules are set by states and cities, and they differ widely. California is a useful example of how detailed they can be. The California Attorney General states that an increase of 10% or less needs 30 days' notice, an increase of more than 10% needs 90 days' notice, and statewide rules limit most increases to 5% plus the change in the cost of living, or 10%, whichever is lower, over 12 months. Local rent control can be stricter still.

For a fixed-term lease, the increase usually takes effect at renewal, and the lease itself may set a notice period. For month-to-month tenancies, the state notice period applies directly. Before you send letters across a portfolio, confirm three things for each market: the minimum notice period, any cap on the increase, and how the notice must be delivered.

12-month lease: $[Rent] a month

[Other term]-month lease: $[Rent] a month

Template 3: Rent Increase Letter After A Concession Ends

[Date]

Dear [Resident name],

Your current lease at [Unit address] included [concession, such as six weeks of free rent], which brought your average monthly rent to $[Effective rent]. Your lease rent was $[Lease rent] a month.

For your renewal starting [Effective date], your monthly rent will be $[New rent]. Compared with your lease rent, that is a change of $[Amount] ([Percent]%). Why Do Increases Feel Bigger After A Concession?

Concessions remain widespread. RealPage Market Analytics reports that 15.8% of stabilized apartment units offered a concession in July 2026, with an average discount of 11.1%, which RealPage equates to nearly six weeks free on a 12-month lease. A resident on a $2,000 lease with six weeks free paid an average of about $1,769 a month. Renewing at the same $2,000 is a 13% jump for that resident, even though the lease rent did not change.

MAA sees the same effect in its markets. In its August 2026 capital markets update, it estimated that the average competitor concession of 1.25 months free means a rent increase of about 10% when the concession expires, and 16% to 24% where lease-up competitors offered two to three months free. Template 3 exists for these residents. It shows both comparisons honestly, so the resident is not surprised, and it gives a concrete reason to renew without lowering the rent.

How Do You Deliver A Rent Increase Without Losing Residents?

  • Send the letter early, well inside the required notice period, so residents can plan.
  • Show dollars next to percentages. "$80 a month" is easier to weigh than "4.2%".
  • Give one honest reason, in one sentence.
  • Point to what has improved and what is coming next.
  • Offer term options, such as a longer lease at a smaller increase.
  • Reward early renewal with something that leaves the rent unchanged, such as a gift card.
  • Follow up personally with residents who have not responded by the reminder date.

The early-renewal reward does two jobs. It gives the resident a reason to decide now, and it gives the property an early count of the units it will need to lease. Gift cards are a familiar choice: the Incentive Research Foundation reports that they make up at least 43% of all incentives in North America in its Industry Outlook for 2025. Paylode's article on how gift cards and perks can replace rent discounts covers the economics.

Rent Increase Letter Mistakes To Avoid

  • Missing the notice period required by state or local law.
  • Exceeding a local or state cap on increases.
  • Quoting a percentage without the dollar amount.
  • Comparing the new rent only with the lease rent when the resident received a concession, which leaves them to discover the larger change on the first bill.
  • Over-explaining. A long justification reads as defensive.
  • Sending the letter without a renewal deadline or a clear way to accept.

How Do Large Portfolios Manage Rent Increase Letters?

At scale, the letter is a process as much as a document. Large operators build the increase into the renewal workflow in their property management system, generate letters from approved templates by market, and track who has responded. They review increases for residents coming off a concession separately, since that group carries the most renewal risk.

The same workflow can trigger the reward. When a renewal is signed by the early deadline, the system sends the gift card automatically, so the reward reaches the resident in minutes and the leasing team never handles codes manually. Paylode's retention use case shows how operators set this up alongside a year-round perks program.

Frequently Asked Questions

How do you politely tell a tenant the rent is going up?

Thank them for living at the property, state the new rent in dollars and as a percentage, give one honest reason, mention what has improved, and offer a reason to renew early. Template 2 above follows this structure.

Can a landlord raise rent in the middle of a lease?

Generally, rent is fixed for the term of a fixed-term lease unless the lease allows a change. Increases usually take effect at renewal or, for month-to-month tenancies, after the required notice period. Confirm the rules in your state.

How much notice is required for a rent increase?

It depends on the state and city. In California, the Attorney General states that increases of 10% or less need 30 days' notice and increases above 10% need 90 days' notice.

Should a rent increase letter explain the reason?

A short, honest reason helps residents accept the change. Keep it to one sentence.

Can you offer an incentive with a rent increase letter?

Yes. An early-renewal gift card, offered to every resident in the same renewal window, gives residents a reason to renew without lowering the new rent.
